求職信的基本寫法


雖然求職信一般來說包括:
1. 你得知這份工作的管道。
2. 學歷及職歷的概要。
3. 你的個性以及能力。
4. 聯絡地點、聯絡方式,以及最後的感謝語等,但其實這裡可以發揮創意的空間非常的大。
求職信的訴求在於延續履歷表的內容,更清楚的表現工作企圖心、個性、特質等。另外,有時寫些自己平時喜歡從事的活動來補充履歷也很不錯。舉例來說,你甚至可以這麼寫:「我工作時專注的耐力就是從釣魚中培養出來的」。
  • 說明你從何處得知這個工作機會
    這是最基本的部份。一般來說會將媒體廣告的名稱改用別的字體書寫或用底線加以標記。在這個段落中也可加上你的「career goal」。
  • 強調自己就是最佳的人選
    這是最精華的段落。要依據求才廣告的內容,將自己的能力及特色恰如其份的包裝起來。不過在工作經驗不足的情況下,要避免將自己吹噓的過分離譜。
  • 在結尾部份注意應有的禮貌
    最後的部份建議要以「感謝對方在百忙之中閱讀這份履歷」,並且「誠摯的期望能得到面試的機會」、「希望有榮幸能為公司效力」這樣的句子作為結尾,讓主管留下好的印象……
求職信的書寫訣竅:
1. 表現自我的個性及特質
建議使用積極正面的陳述方式。
2. 文章不可冗長
控制在總共四段、每段五行以內。
3. 前瞻性的氣魄
具有勇於突破與開創氣質的人是外商公司的最愛。因此並不需要對之前辭職的原委做太多的解釋。
4. 少用第一人稱
為了避免流於自大與主觀的缺點,盡量少用第一人稱。
A badly written cover letter can hurt your chances for landing a great job. More than 76 percent of recruiters said in a recent survey by the Society for Human Resource Management that they would not consider a cover letter with typos, or at best they would toss the accompanying resume into a file rather than consider it for that current job.

The purpose of the cover letter is to:
  • Make a good case for the match between you and the position to which you are applying,
  • Show how you are unique in your ability to add value to the organization,
  • Provide an example of your writing abilities, and
  • Convey interest in the position and an eagerness to be considered.
Cover letters should be tailored specifically for the position to which you are applying.

COVER LETTER 怎麼寫?

因為履歷其實是你完整的資歷內容,但閱讀需要花時間,而cover letter主要的用處就是讓主管決定「要不要打開你的履歷來看」。如果你的英文 cover letter 內容寫的顛三倒四,或者和工作內容毫無關係,抱歉,在大家都要搶工作的狀況下,自然有比你更符合且更用心的候選人。因此,在撰寫 cover letter 前你要先想好的內容:
1. 這公司/職位和你有什麼關係,為什麼你想要應徵?
2. 你有什麼能力能說服公司雇用你的? →請詳看工作職缺上寫的職務內容,並挑出你認為對方最看重的、或是自己最符合的兩點來寫,不要寫的落落長

上面內容都想好的話就可以動筆了。基本上cover letter不要超過1頁A4,可以的話盡量在500字以內。那只是提供HR快速瞭解你的背景及特質,不需要把你的家世背景從小到大唸的學校做的專題甚至當什麼兵都報告一遍。華人在寫英文自傳一般最常見的開頭的就「你好,我叫xxx,來自高雄。父母對我的教養方式非常自由開放,因此我就到台北就讀大學」。如果你後面要寫的能力和你的父母沒有關係的話,基本上你從哪裡來、家裡有多少人這些內容,主管是不需要知道的,不用再寫了。

英文文章撰寫最大的特色,就是一整段的主旨一定要寫在第一句,而不像中式文章通常是最後下結論。
中式文章常會寫成「在大學期間,我積極參加校外活動。不僅參加救國團服務員訓練,前往全台各地支援救國團營隊,培養了團隊合作及危機處理的能力,同時也結交許多朋友,拓展生活圈及視野。因此我十分喜歡與人溝通、合作的工作,大學畢業後我便希望能進入公關公司,期望能學到更多溝通技巧及行銷經驗。」

但以英文的邏輯來看,上面的內容簡直是大雜燴,一段內容提到你有團隊合作、危機處理、交朋友的經驗,後面又接到喜歡與人溝通,之後又帶到想進公關公司,完全流水帳式的寫法,整段毫無重點,不曉得你想表達的是什麼。因此若是英文寫作,應該要寫成:

英文寫作的方式,是首句為整段主旨,而後面的內容都是例子來加強主旨的可信度/威力。當然例子可以有一到兩個做輔助,不要列到三個,那段會變太長。
因此整封英文 cover letter 的結構則為
1. 首段: 說明你想應徵的職位、簡單陳述為什麼你覺得你合適
2. 你的能力1: 說明你符合職務需求的能力,並與例子輔助
3. 你的能力2: 同上
4. 結尾: 總結你為何覺得你合適、為何想進這家公司,最後謝謝他們的考慮,希望能收到他們的來信
5. 署名: 記得放上你的名字和聯絡方式

  • Use standard margins (one-inch margins, usually).
  • Can use smaller margins (to about 0.7-inch) as long as you are consistent on all sides.
  • Align all paragraphs to the left of the page. (You can also indent the first line of each paragraph, but that is not used as often.)

在信的左下方,也就是低於簽名的位置,與信正文左邊邊界齊頭的位址,你可以打上附件的簡寫 : Encl. 或Enc.,這表示你這封信有夾帶附件。
Formatting
  • Single-space your cover letter.
  • Leave a space between each paragraph.
  • Leave three (3) spaces between your salutation (e.g. “Sincerely”) and your typed name.
  • Sign your name in ink between the salutation and typed name.
  • Use standard margins for your cover letter, such as 1-inch margins on all sides of the document.
  • Either align all paragraphs to the left of the page, or indent the first line of each paragraph.

你的地址(your address)
寫信日期(the date)
收信人地址(inside address)
稱謂(salutation)
正文(body paragraphs)

在信的左下方,你可以打Encl.或Enc.(附件enclosure的簡寫)表明你信中附夾了一些如履歷表、成績單或其他證照影印本等的文件。
以下是應徵信函每一部分的詳細內容:
1. 你的地址 Your address
如果你用的是公司、學校、或個人的專用信紙,信紙的上方印有公司、學校或你的名字、地址和電話 (統稱 letterhead),你寫信時就不需要在信紙的上方打上自己的地址。
如果用普通A4信紙,在你的地址上方,你不需要打你的名字,因為信尾你一定得簽名和打上自已的全名(first name and family name)。你也可以在你的地址欄附上你的email地址,不過可有可無,因為你的履歷表上一定有你的email地址。
地址的寫法中英文各異,中文地址是由大到小(如先寫區域號碼106→台灣→台北→忠孝東路→三段→251巷→5弄→8-2號);英文地址則是由小到大(如 #8-2, Alley 5, Lane 251, Section 3, Zhongxiao East Road, Taipei 106, Taiwan)。
台灣有的地址只包括幾個項目,有的則十分複雜,再加上台灣拼音系統不統一,有的用漢語拼音、有的用通用拼音、有的用老式威瑪拼音,常造成書寫英文地址的困擾。
2. 日期 Date
寫信日期是打在你住址的下方,英美寫法不同:
美式寫法(月、日、年,如:October 14, 2010)
英式寫法(日、月、年,如:14 October 2010)
注意:月份拼字不可用簡寫,如 October不能拼成 Oct.
3. 收信人住址 Inside address
收信者住址的
4. 稱謂 Salutation (greeting)
信稱呼對方時要用 Ms. (女士) 或 Mr. (先生),對方的姓、再加上冒號(如:Dear Mr. Anderson: 和Dear Ms. Chen:),千萬不可直呼對方名字,如Dear Mary或Dear Henry,除非你和收信者已有一定的交情,直呼朋友名字,就不要加稱謂了,Dear Ms. Mary 或 Dear Mr. Henry 都是錯的。
女性主管的頭銜有三種:Mrs.(已婚婦人)、Miss(未婚小姐)、和當今比較常見對女性主管的稱呼:Ms.(女士),為了避免犯錯你最好用 Ms.來稱呼女性主管。
如果你知道對方有博士學位(doctorate),你應該用 Dr.來稱呼收信者。
如果你不知道對方的姓名或性別時,
英式英語可以用 Sir/Madam(如:Dear Sir/Madam:)
美式英語可以用 To whom it may concern:。
知道姓名而不知道性別時,則用:Dear Mr./Ms. Lin:

5. 正文 Body paragraphs
標準應徵信函可分成三段:
第一段就應該說明你寫這封信的目的是為了應徵這份工作(寫明工作名稱,如financial analyst),你在哪裡聽的這份工作有缺(報章雜誌廣告、101人力銀行、還是朋友告知。)
第二段應該說明你在學校首的專業訓練和工作經驗(education and work experience),並表示你是這份工作的不二人選。
第三段應該顯示對勝任這份工作的自信,提供你的聯絡電話,並禮貌要求面試機會。
6. 結尾語 Closing
你的結尾語應與你的日期對準在一條直線上。
美式英語標準結尾語為
Sincerely,
Sincerely Yours,
Yours Truly,
英式英語中,
如果前面稱呼其姓名,結尾就用Yours sincerely,
如果前面以Dear Sir/Madam開頭,結尾就用Yours faithfully,
7. 簽名 Signature
結尾語下面打二個空行,留作簽名的空間,簽上你的全名(first name 和 family name)。
在簽名的下方,打上你的全名(first name 和 family name)。
例如:Li-chin Lin (or Lin, Li-chin)

Ah, business letter format-there are block formats, and indented formats, and modified block formats . . . and who knows what others. To simplify matters, we’re demonstrating the block format on this page, one of the two most common formats. For authoritative advice about all the variations, we highly recommend The Gregg Reference Manual, 9th ed. (New York: McGraw-Hill, 2001), a great reference tool for workplace communications. There seems to be no consensus about such fine points as whether to skip a line after your return address and before the date: some guidelines suggest that you do; others do not. Let’s hope that your business letter succeeds no matter which choice you make!
When you use the block form to write a business letter, all the information is typed flush left, with one-inch margins all around. First provide your own address, then skip a line and provide the date, then skip one more line and provide the inside address of the party to whom the letter is addressed. If you are using letterhead that already provides your address, do not retype that information; just begin with the date. For formal letters, avoid abbreviations where possible.
Skip another line before the salutation, which should be followed by a colon. Then write the body of your letter as illustrated here, with no indentation at the beginnings of paragraphs. Skip lines between paragraphs.
After writing the body of the letter, type the closing, followed by a comma, leave 3 blank lines, then type your name and title (if applicable), all flush left. Sign the letter in the blank space above your typed name. Now doesn’t that look professional?

到應徵公司的網站或用電話打聽,儘可能找出收信人全名,如果想盡辦法都打聽不出收信者姓名,可以打以下的稱呼: “To whom it may concern:” 、 “Dear Sir/Madam:”。但最好不要用這個稱呼,因為這會使你的信看起來像是寫給每個公司一模一樣的制式信。
寫信之前最好先上該公司網站作些瀏覽工作,如此寫出來的信才顯示出你已深入瞭解該公司的組織與營運方式。例如:你得知甲公司剛在日本開了家新分店,你可以在信中提到你的日文說寫流利。又例如:你得知該公司作風非常傳統,你的信中的口氣就必須顯得比較正式;相反地,若公司作風新潮開放,你下筆也可以比較輕鬆或俏皮一些。
謹記:不管公司作風是開放還是保守,你的應徵信函都需要保持禮貌的口氣,絕不可在信中要求特定數字的薪水。你可以很自信,但不能咄咄逼人。
  • “Address the letter to a specific person and use this person’s name in the salutation. Avoid using such general salutations as Dear Sir or Madam, To Whom It May Concern, Dear Administrator, Dear Prospective Employer or Dear Committee. In an active job search, you should do everything possible to send your cover letter and resume to a particular individual, preferably someone you’ve already talked with in person or by phone and with whom you have arranged an interview. If you have not been able to make a personal contact, at least do everything possible to find out the name of the person who will read your letter and resume, and then address the letter to that person.”
  • “If you are replying to an ad without a person’s name and have no way to learn it, consider omitting the salutation and varying the subject line.”
  • “If the intended reader of your resume suggested that you send it, or if you have recently spoken with the person, say this in the first sentence of your cover letter. Indicating that the resume was requested helps to get your resume past any ‘gatekeeper’—the person who opens the mail and makes preliminary routing decisions—and into the hands of the appropriate reader.”
  • “Similarly, if a third party has suggested that you submit your resume to the reader, mention that at or near the beginning of your cover letter. Even mentioning the third party near the end of the letter may be beneficial.”
  • “Research the prospective company and show in the letter that you know important information about that company.”
  • “Toward the end of the cover letter, consider repeating the recipient’s name to convey friendliness and to provide a personal touch.”

With all that has to go into your cover letter, you’ve got a lot of work to do. But what may come as a surprise to most job seekers is that your work should begin long before you write a single word. In fact, what is most likely to determine the success of your cover letter is the effort you put into the process that writing experts refer to as prewriting. Use these prewriting basics to guide your cover letter preparation process.

RESEARCH.

  • The very first stage of prewriting involves reading everything you can get your hands on. Research the company on the Internet and talk to friends and colleagues who have worked there or have been frequent customers. Most importantly, print out the job posting you’re responding to and go over it with a fine-tooth comb. Based on all of your research, what are the main qualities the company is looking for in an applicant? Take notes and make some lists to refer to later on.

GATHER PAPERWORK.

  • The longer you’ve been in the workforce, the more documentation you’ve likely accumulated along the way. As part of your prewriting process, bring out all of the reviews, letters of recommendation, job descriptions, and past résumés and cover letters you’ve gathered over the course of your career. Spend a few hours looking over everything, making notes about your strengths and the skills you’ve developed in your past roles. Try to focus specifically on the talents and attributes you think will translate best to the new position.

BRAINSTORM.

  • Time to begin writing, but at this stage, keep things very abstract. Make a series of free-form lists of the skills and experience you most want to get across in your cover letter. Imagine the ideal candidate you think the company is looking for to fill the position, and create a list of words and phrases you can use in your cover letter to tailor your skills and experience to better fit this mold. Make lists of the attributes and even the personality traits you want to get across in your letter, and brainstorm some words and phrases that best embody these traits.

PICK A FORMAT.

  • There are countless sources of sample cover letters out there, whether you’re looking online or prefer to buy or check out a book-length compilation. Browse through samples and pick one that you think is best suited to the position you’re applying for. Having a predetermined format in mind can make the writing process much less intimidating – it’s akin to the difference between a coloring book and a blank canvas.

BEGIN TO SKETCH IN THE DETAILS.

  • To get your cover letter just right, you have to expect to go through multiple drafts. Your earliest attempts can be more like outlines than polished business documents. Using the format you’ve selected as a guide, decide which details about yourself and the company you’ll include in each paragraph. Once you’ve got these core components in place, you can gradually begin the traditional writing process. Take it slow, and don’t call it finished until you’re completely happy with the final product.
